Privacy Policy

This Privacy Policy describes how BenKon Corporation (“BenKon”, “we”, “us”) collects, uses, stores, and protects your personal information when you use the BenKon mobile application and related services (the “Service”). By using the Service, you agree to the practices described in this policy.

1. Information We Collect

a. Account Information

When you register for an account, we collect your full name, email address, phone number, employer/store name, and a hashed password. This information is required to authenticate you and link you to the correct stores and devices.

b. Camera (Installation Photos)

With your permission, the app accesses the device camera so that field technicians can capture installation photos of air conditioners and IoT devices. These photos are uploaded to BenKon servers and used for installation verification, after-sales audit, warranty processing, and dispute resolution. The app does not capture photos in the background or without an explicit user action.

c. Location

With your permission, the app collects your device location at the moment a technician completes an installation or service task. This is used to confirm that work was performed at the correct store and to maintain an audit trail. Location is collected only when you actively perform a task in the app — we do not track your location in the background or when the app is closed.

d. Device & Sensor Data (Air Conditioners)

BenKon IoT devices installed on your air conditioners report operational data — such as on/off state, set temperature, room temperature, power consumption, runtime, error codes, and device identifiers — to our servers. This is required for the core function of the Service: energy monitoring, AC control, and predictive maintenance.

e. Push Notifications

If you opt in, we use Apple Push Notification service (APNs) and Firebase Cloud Messaging (FCM) to send operational alerts such as device offline notifications, abnormal energy usage warnings, and maintenance reminders. For this we store an anonymous device push token. You can disable notifications at any time in your device settings.

f. Analytics & Diagnostics

We use Firebase Analytics and Firebase Crashlytics (Google) to understand how the app is used and to diagnose crashes. These tools may collect anonymized usage events, device model, OS version, app version, crash stack traces, IP address, and a randomized installation identifier. This data is not used to advertise to you, and is never sold.

2. How We Use Your Information

To provide the Service — authenticate your account, control and monitor your AC devices, and display energy data.
To verify installation and provide after-sales support, warranty and audit using technician photos and location records.
To send operational notifications such as device offline alerts, abnormal energy usage warnings, and maintenance reminders.
To improve app stability, fix bugs, and improve product features.
To comply with legal obligations and respond to lawful requests from authorities.

We do not sell your personal information. We do not use your data for third-party advertising.

3. Third-Party Service Providers

We share limited data with the following providers strictly to operate the Service:

Google Firebase

Analytics, Crashlytics, Cloud Messaging (push).

Apple APNs

Delivery of push notifications to iOS devices.

Cloud hosting provider

Application and database hosting for BenKon backend.

Authorized service partners

Installation and maintenance contractors of BenKon, bound by confidentiality.

These providers may process data outside Vietnam (for example, Google data centers in Asia). They are contractually required to protect your data and may not use it for their own purposes.

4. Data Retention

We retain account information for as long as your account is active. Installation photos, location records, and device telemetry are kept for the duration of the service contract plus up to 24 months after termination, for warranty, audit, and dispute purposes. Crash and analytics data is automatically deleted by Firebase according to its default retention settings (typically up to 14 months). You may request earlier deletion at any time — see Section 6.

5. Data Security

Data is transmitted between the app and our servers over TLS/HTTPS. Passwords are stored as salted hashes. Access to production data is restricted to authorized BenKon personnel under role-based access control. While we follow industry-standard practices, no method of transmission or storage is 100% secure.

6. Your Rights

You have the right to:

Access and obtain a copy of the personal information we hold about you.
Correct inaccurate information.
Request deletion of your account and associated personal information, subject to legal and contractual retention requirements.
Withdraw consent for optional permissions (camera, location, notifications) at any time in your device settings.
Lodge a complaint with the relevant data protection authority.

To exercise any of these rights, contact us at the address in Section 9. We will respond within 30 days.

7. Children's Privacy

BenKon is a B2B service for commercial customers. The Service is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us personal information, please contact us and we will delete it.

8. Changes to This Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the most recent version. For material changes, we will provide additional notice through the app or by email.
